Sony’s latest Digital Business Report 2013 makes for some interesting reading and has revealed some unique insights into the world of data security and technology. While these are not particularly new the report brings to the fore some startling statistics and ones that every business owner should be aware of. It largely focusses on the change in the way we use and view technology and how this revolution could be a missing data time bomb.

In the last year, the report highlighted that as many as a quarter of companies had one of their own laptops reported stolen in that period with as up to as much as 90% of their employees using portable storage devices on business computers, regardless of their corporate IT policies. In fact, almost half of those spoken to said that they would even go as far as bringing in their own computers to work and ignore such regulations if they found office computers to be a hindrance to their roles.

Over 40% actually admitted to using their own laptops for work purposes and almost 90% of those who use laptops for business purposes reported that the one they use remotely, is also the one that is used at work in their offices.

For those that do adhere to company policies and use laptops provided by their employers, there are still concerns that need to be addressed urgently. 66% of users admitted to storing confidential business-critical information on their work laptops, and the same number of people acknowledged that their work laptops were often taken home with them. It is commonly accepted that the most common locations for laptop thefts occur from trains and homes with public areas in airports being another key area for theft, so this becomes a serious issue.

With such risk of theft being so high, when it comes to these devices it is a surprise to see that security is incredibly lax. Under a third of companies reported that they have adequate protection in place on their mobile data devices in the event of loss, despite expressing security of their data as being a key business concern.

What is worrying is that the majority of laptop users are failing to change their passwords each month, with a fifth failing to change it at all. For those that do change their passwords, 17% admitted that this only took place when reminded. A more concerning statistic revealed that one in twenty who took part in the study stated that they are still using “password” as their password.

Almost universally, businesses are not taking advantage of readily available security measures that will allow them to adapt to working practices used by their staff. These measures can be set in place quickly and effectively for any size of company, regardless of their existing IT policies and structure. However, it was reported that almost 50% of companies are spending under £1,000 a year on security for their business laptops, and with just over a quarter of them having anti-theft measures fitted as standard it is a worrying trend.

While 42% did have encryption for their data and over half were able to backup their data remotely, only one in four were able to lock laptops remotely and less than one in five were able to track the location of these laptops in case of theft.

What the study revealed was that it is not awareness of security measures available that is the problem, but knowledge of how to implement them needs to be addressed.

Research firm Gartner predicts 90 percent of all companies supporting corporate applications on personal mobile devices, within the next three years.

The adoption of smartphones has increased productivity in a big way, but such productivity comes at the cost of network security. The protection for the data stored and transmitted in traditional desktop environment is bad enough, and it becomes even worse in the mobile environment.

Initially, when smartphones and other mobile computing devices were rare, cyber criminals out to steal data ignored such devices. But this is no longer the case. For instance, malware infested apps have made an appearance even in the supposedly safe Google Play, and the official Android market and Android Trojan apps now build botnets. The recent instance of root vulnerability in Samsung Exynos processors indicate how cyber criminals pry on vulnerabilities to slip malware into mobile devices.

While it is difficult to enforce a uniform policy across all devices, the AUP may have device-specific policies. Security protocols for specific groups, such as Android smart phones, tablets, Windows phones, iPad and others, provide a blueprint for security.

Another option is to limit local user rights or access to portions of the hardware based on the concept of least privilege. A good mobile device management (MDM) allows enforcement of such restrictions.

Encryption

Encryption is a panacea for most instances of data theft. Encrypted data is useless for the data thief unless they also happen to steal the encryption keys. Apart from encrypted file storage for data stored in the phones, it is also pertinent to ensure that encrypted data sessions when connecting to the corporate server from the home or public wi-fi networks. Enforcing end-to-end email encryption is another safe practise worth enforcing.
